To volunteer Delivery DRIVERS RE: Saturday, December 19

Dear Food for Friends Volunteer:

I plan to schedule you to deliver meals on Saturday morning, December 19.

If you not already done so, on Saturday I will ask you to complete a form that will authorize Center Church to conduct a Criminal Offender Record Information (C.O.R.I) check.  Please bring your driver’s license.

By the Wednesday preceding our November delivery, I was able to give you your route assignment.  I will not have the routes worked out until Thursday or Friday.  However, I want to send you this email reminder tonight.  I will send you your route assignment on Thursday or Friday.  For those of you who drove in November or October, your assignment will be similar or identical on December 19.

I took the liberty to post some photos from our November delivery day at http://southhadleygranbyfoodforfriends.blogspot.com/.  If a photo of you is there, and you do not want it there, please tell me, and I will remove it.

Please respond to this email so that I can plan on you, or so that if necessary, I can find a replacement for you.

Countdown to Meal Prep 12/19

Hello Coordinators,

Thanks to all of you for your efforts this past week to prepare for our next meal on Saturday.

Steve let me know that the cooks have set the menu:

Bev is having her bakers make cherry bars and assorted Christmas cookies.

Bobbie has confirmed the packing supplies.

Allan will report on the budget tonight; Steve reported that the Lutheran church will be sending a check this week.  Steve is also working on a cabinet, but will hold off on pots and pans.

Sarah will deliver cards made by her Daisy troop on Thursday and place them outside the kitchen on the table in Fellowship Hall.

I will be purchasing some additional dish washing soap and scrub sponges.  I have a large Christmas playlist loaded on my iPod!

The next big step is to get the client delivery list from Kathleen; and then let everyone know the exact count.  Kathleen, it would be helpful on a monthly basis to know how many people there are for St. Theresa's week, just to have some guidance on how many meals we can expect, a little ahead of time.

TAKE AND EAT, INC  PEOPLE FEEDING PEOPLE"

A Blessed Thanksgiving to each of the Coordinators and all of your Team Ministry Members at The Weekend Meals Ministry sites throughout Berkshire County and the Pioneer Valley!  Deacon Frank and I, along with all of the over 1,700 clients and their caregivers and family members, count each of you as a special blessing in our lives.  You are individually and collectively truly demonstrating "putting shoes on the Gospel message" through your beautiful works of charity in this ministry to our homebound seniors…you have touched many, many lives in multiple ways – spiritually and physically…you epitomize Blessed Teresa's message of "do small things with great love"…thank you and God Bless you and your family…

I am attaching the 2010 Calendar for each of your sites.  Essentially, I have mirrored what you committed to when your team entered this ministry. In those instances where your scheduled weekend falls on a 3 day holiday weekend that is identified on the spreadsheet.

I am requesting the Coordinators review this schedule and book those dates with your kitchen and advise appropriate Parish staff/committees.  Should it be necessary to do a schedule change due to a conflict, please let me know ASAP.  As you can appreciate, once this information is shared with the various Elder Services agencies, clients and posted on the web site (www.takeandeat.org), those dates are "in stone".  We wish to finalize this calendar by December 10, 2009 so please let me know prior to that date if you have any questions, etc.

Once again, thank you and may the coming year be a blessed, peace-filled and bountiful year ahead…and we ask you to please keep the Take and Eat Program, all of its clients and volunteers in your prayers as we go forward maintaining and  expanding this Ministry during this New Year…in closing, we offer the following prayer for you on this Day of Thanksgiving…Blessings, Kathleen and Deacon Frank

ANNOUNCING TAKE AND EAT, INC.:  Highland Valley Elder Services and Take and Eat, Inc. are pleased to inform you that volunteers from the Immaculate Conception Church in Easthampton will be preparing and delivering free, hot, nutritious meals to homebound seniors in Easthampton.  These meals will be prepared and delivered the 4th Saturday of each month and will consist of one meal for Saturday and one meal for Sunday.   Meals will be delivered between 11:30 a.m. and 12:30 p.m.  If you are interested in receiving these Saturday home delivered meals from Immaculate Conception, please contact the Enrichment Center for the necessary paperwork or call Kathleen Ryan of the Take and Eat Program at 413-664-1041.

This item would be a good one for our debrief agenda...


My feeling is that we should not go too fast-forward right now on adding additional names to our list.  Unless there is a strong personal connection to someone who is in great need of a meal and not is on the list, I think we should first get acclimated to the "standard process" for another couple of months.  How does that sound to you?  Am I being too cautious?

If client names are to be kept confidential, I think the process might be:

1.  Any person can recommend a name (with contact information).
2.  We can check the client list to see if that person is on the list or not.
3.  If not, we can send to Kathleen, who will add to the South Hadley / Granby list.  Will she also contact WMEC?
4.  Once the name has been confirmed or added, we can get back to the person who gave us the recommendation to let them know that the person(s) will be receiving a weekend meal.
5.  In all communications about client names, stress that client information is strictly confidential.

Hello Food For Friends Volunteers,

What a wonderful morning we had last Saturday!  Our first meal was a huge success, with many volunteers on hand to prepare and deliver two meals each to 54 homebound elderly.

A huge thank you to everyone who helped.  Please enjoy some photos of the "scene" in the kitchen - I'm sure that you'll appreciate not only how organized the effort was, but also how attractive everyone looked in their hairnets!

The coordinators will be meeting in the coming week to discuss what went well and what tweaks we can make to improve our processes.  Please feel free to provide me or your coordinator with any feedback or suggestions.  We want to make sure that we create the best experience for everyone that we possibly can!

Our next meal preparation will be on Saturday, November 14 (Note: Corrected post after the fact)  The coordinators will be putting together the list of people they need for that date.  We are in the great position of having more than enough volunteers, so we anticipate that not everyone will be needed every time.  Please let your coordinator know if you will not be available on November 14, or if you will be heartbroken if you are not part of next month's event!

From Kathleen Ryan of Take and Eat, Inc. about pre-delivery phone calls

Bob and Charlotte – please see response below from the coordinator at St Pat’s – that is normally the case where we have sites – so the pre-calls are up to you but I don’t believe, based on this feedback and the calls I made today that is necessary.

The one thing I neglected to add to my response e-mail earlier is to not send the meals out too early – I know the drivers are anxious to get them out – when Frank and I started the program in North Adams at St. Anthony’s we would have some of our drivers there shortly after 10:30, ready, eager and ready… but as I explained to Steve and Gail in the kitchen – the clients have been advised to expect the meals between 11:30 and 12:30 – that is their normal weekly schedule and that of St. Pat’s and St. Theresa’s when they deliver on Sunday…I’m not sure if the clock in the kitchen was accurate, but my observation was that the initial set of drivers were in transit a bit earlier than necessary…as I’m sure you understand, our clients are basically on a timeset – pretty much everything in their life is on the clock and when that is disrupted, they just don’t adjust to well. Please accept this as constructive in-put and not anything but that to enhance your beautiful service to the community.

Dear Deb, Barb and Mark,

I was out your way yesterday for the “Foods For Friends” at Center Church, first meal…they did a great job and all of the Churches involved really worked so smoothly together – we’re very pleased that there is yet another weekend of coverage for the senior homebound community in your area – 4 out of 5!!! Thanks to you all.

Their Driver Coordinator e-mailed me last night regarding some clients who were not at home to receive their meal (I’m awaiting the client names so I can call them and check out the reason they weren’t there)…he is asking if I think they should call them on the Friday before the meal to remind them…my position is that our clients have been instructed that they must be at home to receive the meal – except in those instances where they might be taken to Church and arrive home after meal delivery time, in which case special instructions about leaving the meal in a cooler or with a neighbor, would be provided to the driver.

Also, if we know that a person perhaps is suffering from dementia or simply has trouble remembering certain details, we would give them a “heads up” – but so far as I know we don’t have any clients in your area with this situation. Appreciate your letting me know if there are any clients who your experience dictates a “reminder call” and I would certainly share that with them.

Thanks for this update. Given that dementia was a criteria for a pre-phone call I'm wondering if we should call this woman next time before we deliver since she is listed with dementia...

...I had no doubt what you told me was protocol I just have a personal experience that I needed to process. Without the intervention of the meals on wheels driver... (she)... would have surely died on her bathroom floor. It was because she didn't respond two days in a row to meals on wheels that the police were called. They ambulanced her to the hospital where she remained because of severe dehydration. We are only going once a month so our circumstances are different.

We will continue to deliver meals and report back any "missing" persons when appropriate...-Suzanne

...Kathleen: Thank you for your presence today! I have notes from today, for instance, those people who the drivers expected to find at home, but did not. I will send you a separate email with those details.

1. One suggestion that was made today was that we phone the people the night before, that is, on Friday night, to remind them that we will be there on Saturday.

2. A question arose today from a driver who found a woman to be not at home. This client happens to be one for whom you had provided me with an “emergency contact,” the phone number of her daughter, which I had given the driver. The driver wanted to phone the daughter to tell her that her mother had not answered the door. I said to the volunteer that I was under the impression that we should only use an emergency phone number (when we have one) in a situation more urgent that a client simply not answering the door. Indeed, several clients for whom I do not have emergency phone numbers did not answer their door today. In other words, I have thought that a driver should only phone an emergency contact if, for instance, he found that a client had fallen or was ill but had not informed anyone. So, I will appreciate your advice here. If a driver has an emergency phone number for a client, should he/she phone that number simply if the client does not answer the door?

I am sure that Charlotte or others will get other suggestions about we can improve things for November. We will surely want to tweak things as we get more experience. Coming up with responses to the two questions above, and others that we think of this coming week, can help us create revised and improved directions for all to follow in November.

Dear Bob,

It was my pleasure to be with all of the “Food For Friends” volunteers yesterday – you all did a great job organizing this ministry and I commend you for all of your efforts toward launching this community service at Center Church’s Kitchen and providing a fourth weekend wellness check and delicious meals for the homebound senior community in S. Hadley, Granby. As Deacon Frank states in his homilies on this ministry “food is God’s love made edible”…and I know all of those folks could taste the love yesterday! He certainly did!!!

Bob, you are correct in your usage of the emergency number.

In terms of those folks who were not at home, please provide me with that information and I will contact them to determine the reason they were not at home to receive the meal.

While it is possible that some of them may be confused about a Saturday rather than the usual Sunday delivery, I know all of them were informed not only by WMEC via the announcement letter and S. Hadley/Granby Weekend Meals Schedule we furnished but also via distribution of the announcement/schedule with the last meal delivery by St. Patrick’s.

My position is that these clients are primarily homebound and know they need to be at home to receive the meals. There are, however, some clients who attend Church Services and do not return home in time for meal delivery and we have made arrangements to accommodate those situations and they are noted on the client list. Also, there are some clients in certain areas who either have some form of dementia or simply forget certain details and we have instructions to call them prior to the meal delivery to remind them…there also are a small percentage of clients who have some form of disability and have requested a call prior to delivery.

I have e-mailed the other churches in S. Hadley/Granby to confirm to me that there aren’t any other clients they are aware of who require pre-call accommodations – other than those already noted. Should there be any, I will share with you.

Let’s see what I determine from the clients who weren’t at home before you make your decision about needing to call clients prior to the meal.

Here is the menu for this month:
Saturday:  American Chop Suey, String Beans, Rolls, Peaches, Brownies

I have attached the most current list of volunteers, based on everybody's feedback.  Just let me know, on an on-going basis, what changes you have.  I would like to keep this as an up-to-date working document.

Here is the last list of to-do's to prep for the weekend:

1.  Baking Coordination:  Bev is meeting me at the church at 5:15 tonight (Wednesday), and we will create the collections of materials for the bakers:  plastic baggies, gloves, hairnets.  Steve, I'm assuming that you dropped the new gloves at the church, but just in case, Cathy will bring some, along with the hairnets, to the coat closet during the day tomorrow.  After Bev and I get the materials assembled, she will then distribute them to the bakers.

2.  Shopping:  I have a list of items from Steve that I will pick up at BJ's tomorrow evening.  Steve, just let me know if you can get the sandwich bread - my cell is.  I will also be shopping for the other items (cleaning, wrapping) that I had agreed to get at BJ's.  I will also pick up items to create a first aid kit.

3.  Menu / logo:  I have a drawing from Mary Anne that my husband and I are working with to get into a logo format.  I'll then create the menu sheets to pack with the meals, and get a supply printed for Saturday.  See the template attached.

4.  Dashboard signs / Sorry I Missed You tags / Driver ID's:  I will create and produce a supply of these for Saturday.

5.  Purchase re-imbursements:

Food For Friends is one week from today! (from Charlotte Buijnarowski)

Hello Wonderful Volunteers,

In exactly one week, the food will be prepared, the packers will be poised, and the drivers will be arriving.  It's exciting to imagine that scene as the culmination of all of our work over the past few months to get the Food For Friends program up and running!

Thank you to all who were able to attend our training session last week.  I've attached the kitchen training and driver training documents from that session.  Please review these important rules prior to next Saturday. 

A couple of notes to the bakers:
1.  Even though you will be preparing the desserts in your own kitchen, you need to be sure to follow the rules for safe food preparation:  hairnets, hand washing and gloves; and....if you or anyone in your household are feeling ill, please let others bake instead!
2.  You will be receiving supplies this week:  bags, hairnets, gloves.  You will also be receiving your baking assignment early in the week.

As a final item, I am attaching a list of all of our volunteers and the roles you have signed up for.  Please confirm, and let one of the coordinators know if anything needs to be changed.  Several people do not have assignments - please let me know if you would like to help in a certain area, or if you are not able to help at this time and would like to be removed from the list.
